We are seeking an Administrative/Project Coordinator to support office staff and projects in our Vancouver, BC Office. Our ideal candidate will proactively partner with Vancouver staff, Project Managers and other members of project teams to provide office support and help coordinate projects from start to finish. This position will be located in Vancouver, BC, with ability to work from two locations – construction trailers (not active construction zone) on Annacis Island, Delta, BC and from the Brown and Caldwell office.  The office currently is situated in the Gastown neighborhood of Vancouver, BC, but will be relocated in the near future to the Metrotown neighborhood of Burnaby, BC.

Job Expectations:

  • Office Support: assist with daily office needs as assigned by Vancouver Office staff.  General office responsibilities include, but are not limited to:
    • Scan/print documents
    • Create spreadsheets and graphs
    • Research topics on the internet
    • Assist with scheduling large meetings/workshops
    • Provide marketing support (assisting with RFPs and RFQs)
    • Shipping and mailing documents
    • Ordering supplies
    • Assisting with new employee onboarding
    • Help establish new office (help coordinate movers, IT, etc.)
  • Construction Administration: assist with daily project needs as assigned by the Construction Manager and technical staff.  General project support responsibilities include, but not limited to:
    • Maintain document records for construction submittals, RFI’s, etc.
    • Coordinate work flow amongst various parties (Brown and Caldwell staff, Contractors, Client and subconsultants)
    • Write, edit and format correspondence and meeting minutes
    • Maintain formal logs for construction​
  • Project Support: assist with daily project needs as assigned by the Project Manager and technical staff.  General project support responsibilities include, but are not limited to:
    • Write, edit and format correspondence and meeting minutes
    • Conduct word processing of complex documents including reports, contracts, text, tables, spreadsheets, graphics, and other diverse content
    • Update project schedules
    • Coordinate production of project deliverables
    • Maintain project collaboration sites, such as Buzzsaw, SharePoint, and EADOC
    • Assist the assigned project analyst with contract and subcontract management and project invoicing
  • Project Delivery: Learn Brown and Caldwell’s project management systems and standards.  Understand, implement, and adhere to corporate policies related to finance, cost control, project delivery, safety, and quality assurance.
  • Team Effectiveness: Build relationships with project managers, project analysts and project teams to help lead coordination and communication. 

Desired Skills and Experience:

  • Associates or Bachelor’s degree in Business Administration or similar work experiences
  • Minimum two years’ experience in a professional office setting required
  • Experience in project management/coordination in the A&E and construction industry preferred
  • Candidate should be highly proficient in Microsoft Word, Excel, and Outlook.  Power Point, MS Project, SharePoint, and Autodesk Buzzsaw skills are a plus
  • Candidate should be comfortable working directly with senior managers and technical staff
  • Good communication skills (written and verbal) are essential
  • Successful candidate will be proactive and self-motivated, and detailed oriented
  • Ability to multi-task and prioritize is required
  • Ability to work both independently and in a team environment is required
  • Ability to work under multiple deadline pressures is required
  • Candidate should be willing to work occasional over-time
