Description

We are seeking a Sr. Project Coordinator to support projects in our New York City Program.  Our ideal candidate will proactively partner with Program Managers, Project Managers and other members of the New York City Program team to help manage and coordinate projects from start to finish. This position will be based in New York City, NY.

Job Expectations:

  • Assist project managers in contract agreements and control of project schedules and costs
  • Support Project Managers, Task Managers and Deputy Task Managers in collection/distribution of data, communications, and coordination of team deliverables.
  • Assist with delivery of DEP required administrative requirements necessary for the contract, using DEP’s PDS, PMIS and CMIS systems.
  • Help support the document management plan, and assist with developing and coordinating Program communications via BC corporate and DEP communication tools.
  • Execute document control procedures and ensure document control activities such as document management, editing, formatting, version control and distribution management are completed in a timely fashion and in accordance with contractual requirements.
  • Engage project level Team Members to ensure that tasks are executed effectively and deadlines are met.   Ensure all project control activities such as contract administration, change management, and reporting are executed in a timely fashion and in accordance with all company standards and contractual requirements.
  • Develop and maintain periodic status reports to keep management and/or clients informed of contract progress.
  • Develop presentations/reports for internal and external audiences.
  • Assist H&S Manager with coordination, tracking and reporting of H&S efforts for various projects.
  • Assist Quality Manager with coordination, tracking and reporting of QA/QC efforts for various projects.
  • Assist Risk Register Owners with coordination, tracking and reporting of Risk Management efforts for various projects.
  • Assist with coordination, tracking and reporting of regulatory management functions for various projects.
  • Coordinate compilation and perform formatting of agreement and construction Contract Documents.
  • Assist with the development and management of construction administration support activities including construction procurement activities, change management, submittal and RFI reviews and tracking.
  • Coordinate and track execution of contracts including subcontracts, approvals of subconsultants, etc.
  • Perform administrative duties in support of the NYC office

Desired Skills and Experience:

  • Bachelor’s degree in Business Administration or similar work experiences.
  • Minimum five years of experience in a professional office setting required; experience in project management/coordination in the A&E and construction industry preferred.
  • Previous experience in the design / construction industry preferred; candidate must have the CSI Construction Document Technologist certificate (or be willing to acquire within 6 months).
  • Candidate should be highly proficient in Microsoft Word, Excel, and Outlook; Power Point, MS Project, and Access skills are a plus.
  • Candidate should be able to anticipate project needs and identify work assignments independently.
  • Candidate should be comfortable working directly with senior managers and technical staff.
  • Good communication skills (written and verbal) are essential.
  • Successful candidate will be proactive and self-motivated.
  • Ability to multi-task and prioritize required.
  • Ability to work both independently and in a team environment required.
  • Ability to work under multiple deadline pressures required.
  • Candidate should be willing to work occasional over-time.
  • Position will be based in New York City, NY and may require some routine travel to various other offices.
