Our Walnut Creek office Client Service Manager (CSM) Group has an exciting opportunity for a full-time administrative coordinator to join our growth-orientated professional engineering and environmental consulting office.  We are seeking a positive, motivated person who enjoys multi-tasking and learning on the job.  The position provides a variety of clerical, administrative, and project support functions as outlined below. 

Job Expectations:   

Provide clerical and administrative support to the Client Service Managers. Perform assignments of confidential nature.  Requires use of technical and business vocabulary and detailed knowledge of organization operations, procedures and staff.  Organizational and coordinator skills essential and must be very detailed orientated. 

  • Assist Client Service Managers in all aspects of client service related function to include but not limited to the following.
    • Perform assignments of confidential nature
    • Assist with maintaining WorkSmart data base (project and pursuit data base)
    • Perform client research by phone or web search
    • Assist CSM with meeting arrangements and meal reservations
    • Assist CSM with document production needs, computer data entry, and power point preparation
    • Track client board meetings agenda, maintain key client board meeting schedule and coordinate CSM attendance at key meetings
    • Assist in conference coordination
    • Event planning for clients
    • Assist in meeting and trainings preparation
    • Register and request check requests for upcoming events BC is attending

Transcribe and type complex correspondences, memos, and reports on a word processing system from a variety of input sources (Microsoft Word, Excel, PowerPoint, etc.).  Produce a wide range of documents and format variations through a complete knowledge of all aspects of the word processing capabilities.  Work independently, proofread own work and exercise judgement in determining letter and report formats.  Learn and be familiar with business terminology and company practices.  Responsible for the accuracy and completeness of documents produced.  Must have a good knowledge of grammar, spelling, and punctuation

Desired Skills and Experience:

  • BA/BS education preferred or equivalent work experience (4+ years’ work experience)
  • Minimum of two years’ experience in formatting and production of reports, proposals, and other miscellaneous documents required.
  • Proficient with MS Word, Excel, PowerPoint, Adobe and Outlook software and ability to learn new software as it becomes available required.
  • Ability to work independently, establish priorities, exercise judgement, and meet deadlines required.
  • Ability to prioritize and handle multiple tasks and various managers in a fast-paced environment.
  • Available to work Monday through Friday, 8:00 a.m. – 5:00 p.m. required.
  • Experience in an engineering, environmental, or construction industry a plus.
  • Good driving record and valid driver’s license required.
