In order to work effectively as the Executive Assistant to the CEO and Chief of Staff, the individual in this position is expected to have experience working with a Board of Directors and will be responsible for coordinating all aspects of internal and external meetings and events, both domestic and international, for the CEO and Board of Directors.  

  • Schedule and maintain heavy calendar in a fast paced environment; screen meeting requests, prioritize appropriately and manage conflicts
  • Schedule meetings, both domestic and international, and manage corresponding travel, time zone and communications logistics
  • Communicate directly and on behalf of the CEO and Chief of Staff.  Draft/Edit outgoing correspondence
  • Planning, budgeting and execution of logistics for Board and corporate meetings/conferences, and other special events.
  • Ensure smooth communication between the CEO and Chief of Staff offices and internal departments, demonstrating leadership to maintain credibility, trust and support
  • Work closely and effectively with the CEO and Chief of Staff, anticipate needs and provide the highest level of proactive support
  • Develop and manage department budget and expenses
  • Work closely with the EA to the CFO on board and earnings preparation and provide back-up coverage as necessary
  • Design and analyze internal and external customer surveys
  • Track expenses and process monthly reconciliations
  • Handle confidential and critical information with the utmost discretion
  • Prepare information and presentations for use in discussions/meetings
  • Screen telephone calls and visitors, and pro-actively resolve inquiries
  • Handle customer issues with tact and patience
  • Manage incoming/outgoing correspondence, including CEOs inbox
  • Manage business errands during the workday and as needed outside of work hours
  • Personal projects/tasks as requested by the CEO and Chief of Staff 

The individual in this role will: 

  • Lead and mentor the department Administrative Assistant. Work with team to develop quarterly MBOs and monitor progress.  Review annual performance and development plans.  Approve purchasing and expense reports.
  • Attend Managers meetings

Required Knowledge and Skills:

  • Proficiency with Microsoft tools (Outlook, PowerPoint, Excel, Word)
  • Be a team player and interface with all departments/levels both in and outside the Company
  • Ability to prioritize and manage multiple tasks efficiently and effectively in a fast paced, open work environment
  • Meet deadlines while maintaining a high quality of work and personal composure
  • Ability to think independently and self-manage
  • Excellent organizational and customer service skills
  • Strong verbal and written communication skills
  • Possess a strong sense of pride and ownership of projects
  • Flexibility in managing change and occasional ambiguities
  • Must show flexibility in hours and availability
  • Some travel required 

Basic Qualifications: 

  • Minimum of 8 years of experience in a similar capacity supporting C-Level executives 
  • 5+ years working in a publically traded company

Preferred Knowledge and Skills: 

  • Bachelor’s degree including coursework in business and/or communications
  • 10+ years of experience as C-Level assistant in a public, mid-sized company
  • 2+ years of experience using LifeSize or other video conference technologies
  • 2+ years of experience working with jet leasing companies
  • 2+ years of experience with BoardVantage, or similar board portal software, and 

Work Conditions: 

  • Office Environment
  • Occasional travel (domestic and international)
