Administrative Assistant II

Role reports into the Chief of Staff, but takes daily direction from EA to the CFO.  The right candidate will have the ability to work in an open team environment, multi-task, prioritize and possess excellent customer service skills. Must wear many hats and be able to switch gears at a moment’s notice according to priority. Prefer 3-5 years of related experience as an administrative professional in a similar role. 

Essential Functions:

In order to work effectively as an Administrative Assistant, the individual in this position is expected to:

  • Coordinate and manage offsite meetings, both domestic and international, as well as internal meeting facilitation
  • Coordinate domestic and international travel arrangements
  • Provide administrative support to the Chief of Staff and department EA’s, including but not limited to daily call management and back-up administrative support to executives
  • Provide research and analysis for company events and programs
  • Assemble and submit business travel and purchasing card expense reports
  • Manage executive staff catering requests 
  • Create purchase requests, check requests, and office supply requests
  • Screen telephone calls and pro-actively resolve inquiries
  • Greet executive staff visitors in a friendly and professional manner and provide general administrative support
  • Distribute internal mail and manage all shipping and distribution requests
  • Coordinate and follow-through on executive signature requests
  • Update corporate distribution lists and org charts
  • Represent executive team on Activities Committee
  • Manage the EA Reference Site on Connect
  • Manage business errands during the workday
  • Handle confidential and critical information with the utmost discretion

Basic Qualifications:

  • 3+ years of experience as an administrative Assistant
  • Demonstrable experience with Microsoft (Outlook, Powerpoint, Excel, Word)
  • Demonstrable experience with video and messaging software (Zoom/Slack/Box)
  • Demonstrable experience using Visio

Preferred Knowledge and Skills:

  • Established experience as an administrative assistant in a public, mid-sized company
