Description

Primary Purpose:

Responsible for the processing and servicing of operational support, document scanning, indexing, storage and mailroom functions. Ensures that scanning and mailroom operations are accurately performed in accordance with established policies and procedures as well as adherence to governmental regulations.  Responsible for operating and maintaining scanning and mailroom equipment (i.e., high speed scanners, high speed postage meter, letter folder/inserter and letter opener). Provides general support with document preparation, scanning, quality control, indexing and retention of scanned files within the scanning department. Assists in researching exceptions related to scanning processes and errors.  Receives, sorts and distributes incoming mail to company personnel and/or designated drop-off points within established time frames as required.  Applies necessary postage in preparing outgoing mail for delivery to the US Postal Service. May perform data entry and related file maintenance as required.  Assists in researching and responding to branch and member copy requests, errors or discrepancies. Assists with providing suggestions for improvement to ensure processing effectiveness and efficiency are attained and delivered.  Professionally serves internal and external members and vendors.

Qualifications/Requirements:

  • Must have at least one year of related experience in Document Scanning, Indexing and Mailroom Operations or the equivalent.
  • Complete knowledge of scanning and mailroom operations which includes archive imaging, scanning, storage and retrieval policies, procedures, and related functions.
  • Thorough understanding of related hardware and software operations. Knowledge of Imaging Systems processes and scanning equipment. Able to use related PC applications.
  • Must have excellent communication and interpersonal skills.
  • Must have the ability to organize and handle multiple tasks/projects by prioritizing work to meet deadlines.
  • Ability to operate high speed scanner, postage meter, related computer applications and business equipment including 10-key calculator, typewriter, copy machine, and telephone.
  • Well organized and able to work independently.
  • Must be able to sit for long periods of time.
  • Must have good math and typing skills.
