Sovereign is looking for an energetic, organized and experienced Office Services Coordinator to join our Corporate Administration team in Calgary. The successful candidate will have a strong customer focus when servicing internal customers as well as excellent planning, organizing, analytical, problem solving, and time management skills. Critical thinking and decision making are crucial, as is the ability to work individually and collaboratively in a team setting.
Coordinating facilities services, contract negotiations, processing vendor invoices, tracking performance guarantees, and conducting analysis for cost-saving opportunities.
Collaborating to determine office and work space assignments, coordinating moves/designs and acting as a liaison with subcontractors, external vendors, and the IT Department through the implementation and completion.
Conducting onboarding procedures for new hires consisting of building tours, health and safety procedures, and ergonomic best practices assessments.
Issuing, tracking and cancelling building access security cards and parking inventory, while maintaining updated records.
Sorting incoming mail/deliveries, processing outgoing shipments, answering incoming calls and greeting visitors and guests.
Frequent movement, moderate exertion and the ability to lift or move up to 25 lbs is required.
Repetitive, transactional tasks where accuracy is essential.
You handle sensitive information while maintaining confidentiality.

3-5 years of previous experience in a facilities/and or administrative related role.
College Diploma in a related field – Certificate in Facility and Property Management and/or Office Administration preferred.
Knowledge of the Canadian Occupational Health and Safety Act as it relates to creating a physically safe work environment.
