Project Administrator

This position serves as a first point of contact related to customer service including assistance in managing incoming phone inquiries, visitors and other day to day operations. This position is based in our Westminster, Colorado office and is a non-travel, administrative position supporting the sales team.

Responsibilities

Reception & Office Administration

  • Answering and routing of incoming phone calls and voicemail from clients, upholding the highest level of customer service and integrity per the company standards and values when corresponding with clients. Answering basic questions where needed.
  • Hospitality: This position is the face of the organization when people arrive. It is expected that this position greet clients, staff, guests, and delivery personnel with a smile and a cordial, friendly, caring manner.
  • Guest Visits: Arrange guest visits and meetings which may include booking accommodations, taxi services, arranging coffee service, other refreshments, and/or catering.
  • Maintain front desk, lobby area, and conference room in a professional manner; tidy and free of clutter.
  • Receiving incoming mail, faxes and other deliveries. Sorting, routing and delivering mail and deliveries as required. (Forward mail to out of town staff as needed.)
  • Maintain/create kitchen and office duty calendar.
  • Schedule periodic office meetings. Prepare agenda and distribute meeting minutes, set up meeting space for Web-x meetings.
  • Oversee ordering and organizing supplies, staff mailboxes and labels.

Sales Support

  • Assist sales team with the coordination and management of meetings and schedules
  • Create and assemble meeting materials, reports and presentations.
  • Manage portions of projects led by Sales leadership team.
  • Facilitate UPS/Shipping of materials.
  • Coordinate travel arrangements.
  • Coordinate events, workshops and conference preparation and documentation.
  • Support data entry projects and requests.
  • Conduct web research and information gathering.

Perform Other Duties and Special Projects as Assigned

Skills and Qualifications

Bachelor's degree

Study Abroad experience

Proficiency in Microsoft Word, Excel, Power Point

Excellent written and oral communication skills

Detail-oriented

Ability to work with numbers and budgets

Ability to work independently or collaboratively as the situation deems necessary

Highly efficient and organized

Ability to perform and stay calm in a fast-paced company culture.

Punctuality and dependability is a must

Ability to get along and maintain friendly demeanor with diverse types of people

Willingness to make reasonable shifts to work schedule, as necessary

Tolerance and understanding for continuously shifting priorities in a dynamic work environment
