Vital Strategies is looking for a full-time resource and program associate to support its wide portfolio of work.

Reporting to a senior manager in the Policy, Advocacy and Communication (PAC) division, the resource and program associate will maintain and support documentation and resources for all PAC team programs, including external and internal communication. With strong relationships within the global PAC team and across the organization, the resource and program associate will ensure that PAC programs and activities are documented, resources are organized, maintained and continually updated, and that staff have easy access to resources as needed.

The successful candidate will have experience in a support role that included resource support, as well as strong computer skills and the ability to communicate with and support staff and partners of all skills levels to support them in the use of the resource management system. They should be able to work well with others to create a system that is responsive to the needs of the staff, the PAC team and the organization. Formal training in knowledge management or a related field would be an asset.

Main Duties and Responsibilities 

  • Develop and implement an overall system for naming, tagging and or organizing files to allow easy and intuitive retrieval; train and support team on implementation.

  • Develop and implement a system for managing scientific literature resources; monitor major journals for relevant research.

  • Work with program teams to improve their resource management.

  • Oversee PAC team folders on Box, ensuring that they remain clearly organized and accessible.

  • Ensure that both New York and global staff have access to all needed resources, including training and support for Box and other platforms.

  • Writing assignments as needed.

  • Maintain and update Media Beacon (a web-based repository of adaptable PSAs)

  • Maintain and continually update PAC files such as: training materials; photo library; and mass media campaign masters and associated documentation.

  • Other duties as assigned.


  • Bachelor’s degree in social science, humanities, library science or other discipline that requires superior organization, analytical and writing skills
  • Two to four years of professional experience

  • Demonstrated experience responding promptly and completely to support requests from staff.

  • Experience working in an international organization, ideally in or in collaboration with staff from low- and middle-income countries

Desired Skills

  • Strong writing and interpersonal communication skills

  • Fluency in written and spoken English; fluency in another language a plus

  • Ability to work independently and with a team
