The Business Office Representative will be responsible for collections and billing on all active Ortho accounts. They must be capable of building relationships, possess strong conflict resolution skills, and properly organize account follow-up to ensure every account balance is addressed in a timely manner.
Review accounts with a balance following established procedures for 30-60-90 day balances and collection procedures for Past Due accounts.
Review credit-balances and forward completed refund requests to team lead for review.
Answer and handle incoming Business Office calls and return all voicemails daily.
Exhibit excellent Customer Service skills and problem solving expertise.
Be knowledgeable of orthodontic procedures and insurance coverage with a proficiency in the OrthoTrac system.
Notate accounts to ensure effective communication between all departments.
Be accessible to Field Office staff for assistance with payments and/or questions.
Accurately adjust accounts according to established Policies and Procedures.
Process transfer requests by prorating account balances and forwarding records.
Follow closing procedures on assigned day.
EDUCATION AND EXPERIENCE:
High School Diploma; Bachelor’s Degree Preferred.
Minimum of 1-2 years of experience in a dental or related field.
Knowledge of dental and orthodontic terminology preferred.
Knowledge of patient accounting and electronic billing preferred.
Excellent written and verbal communication skills.
Experience with OrthoTrac or other enterprise software systems.
