As the Administrative Assistant you will provide a high level of support to the Senior Director, Corporate Security and Corporate Security team. This role will appeal to the administrative professional who enjoys working on multiple tasks and deadlines in a fast paced, exciting environment. Judgment, initiative, confidentiality, work ethic, quality, and the ability to meet deadlines are of prime importance.
The Administrative Assistant will monitor the daily office routine ensuring that general administrative services are accomplished in a timely and efficient manner. These general responsibilities include but are not limited to; organizing schedules and meetings, coordinating travel arrangements, preparation of documents and presentations, file management, setting up and receiving of purchase orders, and expense report and payroll processing.
You will also manage the administration of the security access control system; including communication with a variety of stakeholders to ensure proper use and reporting, adding and monitoring new users and sites and creating company photo identification badges. In addition, keeping security incident information up to date and performing data-analysis as part of regular responsibilities.
You will be responsible for personal safety, that of coworkers, and those under your direction by observing and ensuring compliance with all Occupational Health and Safety Rules and Regulations.
Skills, Capabilities and Experience
Our ideal candidate offers a minimum of Grade XII education or equivalent, recognized Administration and/or Business Certificate and a minimum of five years’ experience. A natural aptitude for technology and a high level of proficiency with MS Office (Excel, Word, and PowerPoint) is essential. Experience with various software packages, including Oracle, SharePoint and PeopleSoft are assets.
You are a highly professional, detail-oriented individual with polished communication and interpersonal skills. You are extremely organized with a strong ability to multi-task, while maintaining a high level of accuracy. You are confident, well spoken, and committed to personal development. A sense of humour and a 'can-do' attitude will ensure a solid fit with this busy team. Previous experience with a security access system and/or customer information system would be considered assets.
