Executive Assistant, Seattle

 

Responsibilities:

 

The Executive Assistant will provide administrative and project support for two Managing Directors in FSG’s Seattle office. The candidate will also work closely with the global administrative team and Chief Administrative Officer to ensure the successful coordination and completion of FSG’s firm-wide administrative needs.

 

Executive support responsibilities include:

  • Calendar Management: Coordinate, schedule, and manage calls, meetings, client visits, speaking engagements, and conferences for Managing Directors; track and report time spent on various activities
  • Relationship Development and Contact Management Support: Help manage  contacts, using Salesforce to track inquiries, outreach,  and project activities as needed
  • Travel Arrangements: Support extensive domestic and international travel including procuring visas, arranging in country transportation, keeping up to date on client and internal travel policies, etc.
  • Expense Processing: Complete complex expense reports in a timely and accurate fashion
  • Administrative Support: Assist with printing and general administrative duties as needed

 

Project support responsibilities include:

  • Practice Area Support: Work closely with Managing Directors to coordinate outreach and knowledge development for one or more of FSG’s practice areas by conducting research, taking on key knowledge management activities, and coordinating inquiries and responses from internal and external contacts
  • Project Support: When needed, support consulting teams by coordinating interviews, note taking and synthesis, and light research

 

General administrative responsibilities include:

  • Office Support: greet clients / visitors / candidates, setup for meetings and events, order supplies, serve as IT office liaison, work with the administrative team to ensure smooth operations of the Seattle office
  • Firm-wide Support: Partner with other operations staff members to address overall needs of the firm, work closely with the administrative team to create greater efficiencies between offices, other duties and projects as assigned

 

Requirements:

 

  • At least 2+ years of experience supporting executives and / or other relevant administrative / project management experience
  • Extremely organized, proactive, and with strong attention to detail
  • Effective communicator in a business setting – including professional phone manner, excellent written and verbal communication skills
  • Ability to juggle multiple responsibilities in a fast-paced, results-oriented environment
  • Confidence interfacing with senior executives, taking initiative to get the job done and improving processes along the way
  • Independent worker; able to take the lead role in all areas of the position’s responsibilities
  • Solid working knowledge of Microsoft Word, Outlook, PowerPoint and Excel
  • Knowledge of Salesforce and / or NetSuite is a plus
  • Passion for FSG’s mission and approach

 

Position

 

This is a full-time position in our Seattle office. Salary is competitive for the position and non-profit sector; it also includes a generous benefits package. As part of those benefits, FSG offers 100% paid health insurance for its full-time employees as well as disability and life insurance and a 401(k) retirement plan. Note visa sponsorship is not available for our US offices. In addition, we are unable to support the OPT Training visa, as this visa will eventually require sponsorship.
