Production Manager

The Production Manager is responsible for all elements of the production for each assigned project/event from start to finish and for executing the approved production-specific Scope of Work in support of client goals and objectives.   

Responsibilities include supervision of other producers, production assistants and production coordinators, depending upon the size and complexity of the project/event and may involve running multiple projects/events simultaneously at various stages of activation. 


•    Serve as primary Production team contact throughout project/event with internal and external teams.
•    Oversee the day-to-day production activities including the creation, management and reconciliation of task/timelines and budgets, and overall project quality control.
•    Coordination of internal teams and external crews/vendors. Work closely with internal teams (Account, Creative, Digital, Administrative, etc.) to ensure the high quality and smooth operation of overall production and that all key deliverables         
      are met to the client’s satisfaction. 
•    Manage production related communications and documentation of any issues, changes, or required performances that impact the projects in an efficient,     professional and courteous manner, maintaining high standards for quality at all 
•    Provide in-house expertise, as needed for other internal production staff.
•    Source and secure new vendors as deemed necessary in keeping with the company’s SOP’s.
•    Close coordination and management of confirmed vendors and suppliers.
•    Secure all applicable insurance and permitting as needed.
•    Liaison with public safety officials, municipalities and law enforcement agencies as needed.
•    Production of detailed operational plans including servicing and delivery schedules, load in and strike schedules, accessibility, on-site communications, weather preparedness and contingency planning.
•    Create, manage and meticulously track detailed event and operational timelines.
•    Manage and lead all crew and staff on site, including managing and controlling all Load Ins and Load Outs.
•    Submit all status reports, photo/digital documentation, and other evidence of production as required by Account team and Client personnel.
•    Reconcile all production budgets and prepare post event analysis of production including detailed after action reports and evaluations.
•    Handle sensitive information in keeping with all company SOP’s.


•    Bachelor’s Degree in marketing, business administration, or related field preferred.

•    Minimum of 5-years direct experience in producing marketing promotions and events, experiential agency experience preferred.  Must have very strong onsite production background.
•    Strong and proven vendor relationships in the industry is a must.
•    Additional Experience in at least one specialized area out of the following: audio/video/lighting, mobile marketing tours, set fabrication, sports event activations and corporate meeting planning.

-    Communications (radio/onsite).
-    Location scouting.
-    Location layout and design.
-    Hotel negotiation regarding F&B.
-    Experience coordinating registration.
-    Transportation planning and execution. 

Some of the skills within this area we are looking for proven and demonstrable experience are as follows:
-    Creating a comprehensive branding grid.
-    Trafficking branding needs, design, and production.
-    Managing production and install of both large and small format print.

-    Budget development and management.
-    Staffing and resource planning.
-    Permitting.
-    Insurance.

•    Excellent computer skills that include Microsoft Office (including PowerPoint and Access)
•    Experience with Smartsheet, Google apps, Slack, Trello or other project management tools is required. 
•    Strong leader with positive and proven communication, planning, organizational, time management, delegation, and multi-tasking skills.
•    Ability to prioritize personally and on behalf of a team.
•    Expert and dealing with the ambiguous and “on-demand” nature of the industry.

•    Strong client/customer service experience and focus.
•    Excellent judgment with the ability to pro-actively identify issues/obstacles and effectively create solutions.
•    Ability to work independently as well as within a team environment.
•    Strong work ethic and ability to thrive and enjoy a fast-paced dynamic team work environment.
•    Ability to manage events of varying size and level of complexity.
•    Flexibility in working non-traditional hours as needed (some nights and weekends).
